Development & Communications Coordinator

Glynwood is an agricultural nonprofit organization based in Cold Spring, New York with a mission to ensure the Hudson Valley is a region defined by food, where farming thrives.  We are seeking a Development and Communications Coordinator (DCC) to work directly with the President, Executive Leadership and the Development team. This critical role has two primary areas of focus: supporting the development and communications functions of the organization, as well as assisting senior leadership with day-to-day tasks and schedule maintenance. This is an entry-level position with opportunities for self-starters to tackle projects related to outreach functions of the organization.

Development Support (50%)

Provide essential support functions for the Development team, which is led by the VP of Development and Administration, and includes the President, Development Communications Manager, Director of Communications and the Events & Outreach Manager. Duties include, but are not limited to:

  • Database & Records Management, including notation of all points of contact (e.g., meetings, phone calls)
  • Donation tracking and acknowledgement
  • Drafting and reviewing grant applications and reports, as assigned
  • Database report generation and analysis
  • Conducting research on existing and prospective donors
  • Leading the generation and distribution of all development mailings
  • Facilitating logistical needs of quarterly Board of Directors meetings & committee meetings
  • Providing logistical, planning and implementation support for all development & outreach related events including:
    • annual fundraising gala
    • donor cultivation & appreciation events
    • annual open house
    • public programs
    • other special events

 

Communications & Outreach Support (30%)

Support Glynwood Marketing and Communications by:                

  • Adapting content provided by Editorial Team members to appropriate channel/medium (e.g., social, web, email, newsletter)
  • Assembling GW newsletters and circulating to editorial team for review and approval
  • Sending GW newsletters according to Communications Calendar
  • Updating website as requested by staff or as planned by Editorial Team
  • Maintaining Glynwood’s organizational social media accounts (not specific accounts for programs/projects/subbrands)
  • Creating simple flyers or print collateral as assigned by the Editorial Team
  • Serve as chief reviewer/proofreader

Support Glynwood events by:

  • Creating ticketing pages for events as necessary
  • Scheduling event reminder & follow up emails

Relationship management: serve as a professional, courteous, knowledgeable and trustworthy point of contact for all of Glynwood’s donors, board members, visitors, volunteers, constituents and partners, including independently generating appropriate and accurate correspondence and written materials, as needed.

 

Executive Support (20%)

Assist senior leadership (primarily President, but occasionally including VPs or Directors) with day-to-day tasks, including but not limited to:

  • Scheduling & confirming meetings
  • Calendar management
  • Travel bookings
  • Expense reporting
  • Internet credentials management

Additionally, if the Administrative Assistant is absent, provide reasonable essential administrative/office support.

 

Competencies

  • Excellent verbal and written communication skills in English
  • Advanced knowledge of and ability to use Google Suite & Google Drive ™, Microsoft Office ™, email, calendaring, spreadsheets, and word processing, including mail merges
  • Experience with Photoshop & Adobe Suite of editing/design tools (e.g. InDesign)
  • Demonstrated ability to use current digital communications & e-marketing tools
  • Ability to use presentation tools such as Powerpoint or Google Slides
  • Ability to operate a complex copier
  • Ability to use a smartphone for calls, email, texting, and apps
  • Ability to use and maintain records in fundraising databases
  • Knowledge of NYC and Hudson Valley Region, especially transportation knowledge.

Supervisory Responsibility

Supervise colleagues and temps who are helping with mailing and events, as necessary.

 

Administrative Responsibility

  • Maintain President’s calendar: send and accept invitations on her/his behalf
  • Maintain President’s snail mail file
  • File both out-of-pocket and credit card expense reports via online application at least monthly
  • Participate in own Performance Planning & Review process with supervisor
  • Participate in regular team check-in and/or working group meetings
  • Submit weekly timesheets to supervisor according to current requirements
  • Request time off via online application
  • Manage elective benefits with online applications, where available
  • Attend trainings in administrative procedures as required
  • Attend safety trainings as required

 

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

 

Physical Demands

This is largely a sedentary role; however, some filing, copying, and event setup assistance is required. This could require the ability to lift files, open filing cabinets, and lift items weighing 10-20 lbs, bend, and stand.

 

Travel and Weekend Work

Occasional weekend and evening work connected to Glynwood events.   Occasional day trips for trainings and/or professional development, and for offsite meetings/events; overnight travel will be rare.   

 

Required Education and Experience

  • Associate’s or Bachelor’s degree
  • Two+ years related job experience

 

Preferred Education and Experience

  • One+ year experience in non-profit development or communications position

 

Additional Eligibility Qualifications

  • Affinity for Glynwood’s mission
  • Valid US Driver License in good standing
  • Provable eligibility to work in the US
